Sage also known as Sage One is a leading provider of cloud-based accounting software for small and medium-sized businesses. They approached our UX design team to help them improve the user experience of their invoicing and expense tracking modules, which were identified as pain points for their customers.
Challenge
Sage's existing invoicing and expense tracking features were functional but lacked the intuitiveness and efficiency that busy small business owners desired. Users reported frustrations with the multi-step process for creating and sending invoices, as well as the cumbersome nature of logging and categorizing business expenses. This resulted in low adoption rates for these core accounting features.
Research
To better understand the needs and pain points of the company’s target users, I conducted
a series of user interviews, task analyses, and usability testing sessions.
Key findings from the research included:
• Small business owners highly value time-saving features and efficient work flows when
managing their finances.
• Invoicing was a frequent task, but users struggled with the number of steps required to
create, customize, and send invoices.
• Expense tracking was often neglected due to the perceived effort involved in logging
receipts and categorizing expenditures.
• Users desired stronger integrations with their business bank accounts to streamline the
expense logging process.
Solution
Based on the insights gathered from the research, I proposed a redesign of Sage's invoicing
and expense tracking modules with a focus on improving efficiency, visibility, and overall user satisfaction.
Invoicing Enhancements
• Simplified invoice editing and sending, allowing users to quickly review and dispatch voices.
• Enhanced invoice tracking and notification features, providing users with real-time status
updates.
• Streamlined invoice creation process with pre-populated fields and customizable templates.
Expense Tracking Improvements
• Integrated bank account connection to automatically import and categorize expenses.
• Intuitive receipt scanning and logging functionality, reducing manual data entry.
• Improved expense reporting and visualization tools, enabling users to better understand
their spending patterns.
By addressing these key findings, I was able to create a cloud-based accounting software solution that balanced powerful functionality, intuitive workflows, and robust security – ultimately delivering a transformative experience for accounting professionals.
Impact:
After implementing the UX improvements, Sage saw a significant increase in user adoption and satisfaction for their invoicing and expense tracking features:
• 35% reduction in the time required to create and send invoices
• 42% increase in the number of users actively logging expenses on a regular basis
• 27% improvement in customer satisfaction ratings for the accounting software experience
The enhanced user experience has helped Sage strengthen its position in the small business accounting software market, contributing to increased customer retention and revenue growth.
Conclusion:
By deeply understanding the needs and pain points of their target users, I was able to deliver a tailored solution that streamlined the invoicing and expense tracking modules. The result was a more efficient and user-friendly accounting experience, driving greater adoption and satisfaction among customers.
